This clip is designed to help you, the CounselorMax™ Administrator, with your login and setup to the CounselorMax system.

Although the login process itself is not unique for Administrators, your administrator account is given additional security permissions. These permissions create differences in what is displayed to Administrators and what is displayed to general users of the system.

How to Login to CounselorMax

This section explains how to login to CounselorMax. The login steps are the same for any CounselorMax user, so this first section is not unique for you (the Administrator). However, your account was given additional security permissions that display additional features within the system.

Note: Step 3 is optional and can be done during any login, it should be done periodically in accordance with your organization's security guidelines.

Your login and password were sent via e-mail from CounselorMax. If you did not receive this e-mail, please call Freddie Mac's CounselorMax support line at 1-866-733-0446.

The steps to login to CounselorMax are:

  1. Go to http://www.counselormax.net/freddiemac
  2. Enter your Login and Password in the appropriate data fields.
  3. Optional -- Click the box next to Change Password (See Figure 2 for additional details)
    Note: Your login and password are not case sensitive.
  4. Click the OK button.

If you are not changing your password, this will successfully log you in to CounselorMax.

The steps to changing your password are: (This page only displays if the box next to Change Password is clicked.)

  1. Enter your New Password. Remember to only use numbers and letters.

    Note: Your login and password are not case sensitive, however, your new password must be entered without any spaces or special characters. You can only use numbers and letters.

  2. Enter your New Password again to ensure you typed it in correctly.

  3. Click the OK button.

You will receive a message indicating your password was changed successfully.

You are now logged into CounselorMax.

How to Access the Administration Page Menu (Administrators Only)

This section describes how you locate and go to the Administration menu. This menu provides features for you to customize your agency and counselors' profiles within CounselorMax.

The steps to access the Administration Menu are:

  1. Login to CounselorMax to display your schedule page (Figure 3).

  2. Click on the Admin Menu link in the lower left corner to display the Admin menu (Figure 4).

Note: If you do not see the link (indicated in #2 above), please confirm that you have logged in with an administrator's account. This link is only available to users with administrative rights.

 

Setting up your Agency Profile

The information added or updated is used as your primary contact information and is displayed as your return address on letters, flyers and reports. Once this is done, you update it only when necessary. This information displays the same for all users in your agency.

The steps to update your Agency Profile are:

  1. From the Administration Page Menu (Figure 5), click My Agency.










    The Agency Profile page displays (Figure 6).

  2. Add or update the data fields, as necessary.

    Note: Contact Name does not need to be a person's name; it can be used as a second line for the agency name or to specify your department.

  3. Click the Save Changes button.









    You will receive a message indicating your information was changed successfully (Figure 7).

  4. Click the OK button.
  5. Click Main Menu to return to the Administration Page Menu.

Creating a New Counselor Profile

Before counselors can use the system, they must first have a profile created. Profiles establish each counselor as a unique user in CounselorMax. Each counselor is issued their own login and password to access the system.

Note: All counselors require unique e-mail addresses so their login and password can be e-mailed directly to them.

The steps to add a new Counselor Profile are:

  1. From the Administration Page Menu (Figure 8), click Counselors.









    A list of existing counselors displays (Figure 9).

  2. Click the Add New button.















    A data entry page displays (Figure 10).

  3. Add appropriate data into the fields.

  4. Click the Save button.











  5. A confirmation message displays indicating your changes were saved successfully (Figure 11). An e-mail is automatically created and sent to the counselor. This usually happens within 24 hours. Click the OK button.

  6. Click Main Menu to return to the Administration Page Menu.

Editing an Existing Counselor Profile

Counselor profiles can be updated as necessary. Remember that all counselors require unique e-mail addresses.

The steps to edit an existing Counselor Profile are:

  1. From the Administration Page Menu (Figure 12), click Counselors.









    A list of existing counselors displays (Figure 13).

  2. In the Edit column, click the check box in the row of the counselor you wish to update.










  3. This displays the data entry page (Figure 14) with the counselor's data in the respective data entry fields. Update the data fields, as necessary.

  4. Click the Save button.












  5. A confirmation message displays indicating your changes were saved successfully (Figure 15). Click the OK button.

  6. Click Main Menu to return to the Administration Page Menu.
